From rustic farm houses to sprawling wineries, a setting along the peninsula, or city central (and everything in between). Your band will be in contact with your chosen venue a few weeks prior to your wedding date to ensure the sound system is in check. Worst-case scenario, let’s say your venue doesn’t have power, they’ll also have a back-up battery powered sound system. Nothing gets left till the last minute – preparation is our middle name. You have booked an agency with experienced Entertainment Managers, curating wedding entertainment daily. We love taking on all coordination and meetings on the performers’ behalf to ensure no details are missed. Our performers are paid to perform and sometimes don’t enjoy the planning side of things – hence they work for us, and everything becomes seamless for all parties. Your Entertainment Manager will be in touch 3 weeks before your date to kick off all the planning, and you can rest assured that we send a detailed brief and run sheet to all our performers – nothing is missed!

“I want to secure my entertainment but don’t know my wedding times yet!” No problem! We work around you! If you’d like to lock in your wedding band so no one else snaps them up in the meantime, just pay your deposit and let us know the date. We can work out the timing details later!

“What happens if the musicians need to stop the music to say, use the bathroom?” Superhuman talent, yes, but still human – your musicians will inevitably need to take a few reasonable bathroom breaks throughout the day and refuel.

Each experienced artist knows how to keep their breaks short and sweet. Breaks are timed so that you have live music for all the important moments throughout the day – you’ll never be without live music for your reception entrance, cutting the cake, your first dance, speeches, etc. Your performers can also cue a pre-corded song to play during any breaks that fits your overall song selection style.

There are a few things to factor in when it comes to choosing the perfect music mix for your wedding.

Firstly, congrats on your engagement! Organising your wedding day is such an exciting time, but we also know the feels around it can be very daunting. When booking wedding entertainment, we do recommend planning a year in advance to remove additional stress closer to the big day. This timeframe is suggested due to the high proportion of weddings that take place every day across Melbourne. To be frank, wedding entertainment is in high demand, especially during the peak wedding seasons of spring and summer. It’s always best to secure your dream musician a year or more in advance to avoid having them stolen by another couple.

We totally understand you wish for your band to get to know you before the big event, which is why we have set up a music portal for every Hey Jack client. This portal gives you the opportunity to customise all song choices, genres, and must-play and ‘do not play’ songs. By providing this information, your musicians can get to know your musical taste before they take centre stage at your wedding. Okay, here’s the game plan; Generally, bands kick start the reception, which on average, last for 5 hours of good tunes and crazy dance moves. Your professional performers will arrive well before their first song to set up and perform a sound check to ensure their performance is seamless. Bands tend to perform a more pulled-back, tame set to begin whilst everyone gets comfortable entering the reception. Then when the event is ready to get into gear, generally after the first dance, they turn it up a notch with an upbeat bracket to get the dance floor pumping. An important detail to note is that our musicians take 15-minute breaks every hour to rest their vocal cords, but rest assured that the vibes will still be there with a curated playlist.

Of course, it’s your dream day after all! You can be in complete control of what music you want your band to play at your wedding. Hey Jack provides every couple with their very own musical portal. Here, you can add your favourite bangers, ballads and bops. Your wedding band will have access to this portal and will create a shortlist of the songs they have already mastered or are open to learning for the big event. Or, if you’re at a loss of what music you want to hear on the night, let your band take control and choose for you.

Whilst all our bands are professional performers committed to giving their best, they are also humans and require food throughout the night. Hey Jack does request that all band members are provided with a plate of food to keep their energy high so they can perform at their best. Most wedding venues or organisers will be aware of this and will likely ask you to confirm if a meal is required for entertainment. Please say yes! Also worth noting; almost all of our performers also love a slither of wedding cake if you’re feeling generous.

With thousands of venues all around Victoria, there’s no surprise that different venues have different demands and restrictions. Lucky for you, the performers at Hey Jack have played at numerous venues and have experienced just about all venue conditions. This means that you don’t need to take on the stress of the entertainment technicalities as your band will be prepared for your venue or will be ready to pre-plan for any new or unknown locations. So, you can focus on other more stressful details- you know, like what flavour cake represents your love.

Where Hey Jack is involved, you don’t have to stress about sourcing your own audio and equipment! Our performers come ready to rock with all the equipment necessary to put on the best wedding performance of all time. However, if your venue is already organised and prepped with all things audio and equipment, please let your band know so they can pack a little lighter.

Ready to lock in your perfect performer? Our standard booking policy is an initial 30% payment to lock in your band. The remaining balance is to be paid 45 days before your big day. Once that all-important first step of booking (and deposit) is made, you will be given your very own musical portal to start adding in any show-stopping tunes or sweet serenades you wish to feature on the day. One-month before showtime, the planning team will take over and give you a run down on all the smaller deets- relieving you to focus on other pressing matters!
